NT Data Restructure and Data Migration
The Challenge
Moving to a new online based document management system presented an opportunity to restructure business documents and records within their file share environment to reflect the new business function. Not only would this provide users with a file structure consistent with the new online systems structure but also the opportunity to clean the existing fileshare - simplifying the depth and complexity of the structure, weeding out redundant and duplicated documents, and the migration of required documentation.
The Process
After in-depth investigation by Easthaven, and with continual consultation with the client, it was established that the depth and complexity of the file store structure of the clients existing data store required simplification. Key project phases and processes were established and from an unmanageable and confusing multiple folder structure, Easthaven put in place an easily identifiable folder structure containing all relevant files thus saving time consuming searches.
Outcome
1. Clean usable data
2. Users had more rapid, logical and timely access to documentation
3. Duplicated and outdated documentation was removed
4. Management discovered valuable previously "hidden" documents
5. A model for ongoing management of project, working and final documentation within the new online system.
